Refund and Cancellation Policy

This Refund and Cancellation Policy applies to all trial classes, live online classes, course packages, subscriptions, workshops, digital learning materials and other educational services purchased from Learn STEM Academy through our website, payment links, invoices or authorised payment partners.

This policy should be read together with our Terms and Conditions and Privacy Policy.

Nothing in this policy limits any refund, cancellation or consumer right that cannot legally be excluded under applicable law. India’s Consumer Protection Act provides remedies where paid services are deficient or not delivered as represented.

2. Free Trial Classes

Where a trial class is advertised as free:

  • No class fee will be charged.
  • The trial class cannot be exchanged for cash or credit.
  • Booking a trial class does not require the parent to purchase a paid programme.
  • Learn STEM Academy may reschedule a trial class due to tutor availability, technical problems or other operational reasons.
  • Repeated missed trial classes may not be rescheduled.

Where a paid assessment or paid trial class is offered, its cancellation and refund conditions will be communicated before payment.

3. Cancellation Before Paid Classes Begin

A parent or customer may request cancellation before the first paid class begins.

Full refund

A full refund may be approved where:

  • The cancellation request is submitted within 7 calendar days of payment; and
  • No paid class has been attended; and
  • No personalised learning plan, assessment, digital course access or paid learning material has been substantially delivered.

Administrative deductions

Where payment-gateway charges, foreign-exchange charges, bank charges or non-refundable third-party costs have already been incurred, those amounts may be deducted from the refund where permitted by law. Any deduction will be explained before the refund is processed.

4. Cancellation After Classes Have Started

Once paid classes have started, refunds will be considered according to the number of classes already delivered and the circumstances of the cancellation.

Where a refund is approved:

  • The fee for completed or attended classes will be deducted.
  • The value of digital materials, assessments or services already provided may be deducted.
  • Any applicable non-refundable payment-processing or bank charges may be deducted where permitted.
  • The remaining eligible balance will be refunded.

Learn STEM Academy may calculate completed-class fees using the standard per-class price rather than a discounted package rate.

5. Monthly and Recurring Plans

For monthly or subscription-based programmes:

  • Cancellation stops future renewals only.
  • The parent must submit the cancellation request before the next billing date.
  • Cancellation does not automatically refund the current billing period.
  • Classes already delivered or made available during the current billing period are normally non-refundable.
  • Any unused prepaid classes may be reviewed for refund or learning credit at Learn STEM Academy’s discretion and subject to applicable law.

Parents should not rely only on cancelling a card or bank mandate. They should also notify Learn STEM Academy so that the student’s programme and class schedule can be formally closed.

6. Class Packages

For prepaid class packages:

  • Used classes are non-refundable.
  • Eligible unused classes may be refunded after deducting the value of classes already completed.
  • Promotional bonuses, free classes and complimentary sessions have no cash value.
  • Refund requests must be submitted before the package expiry date.
  • Packages cannot normally be transferred to another student without written approval.

Where appropriate, Learn STEM Academy may offer class credit, programme transfer or rescheduling instead of a cash refund.

7. Student Absence and Missed Classes

Parents should notify Learn STEM Academy at least 24 hours before the scheduled class when the student cannot attend.

With sufficient notice

Where at least 24 hours’ notice is provided:

  • The class may be rescheduled, subject to tutor availability.
  • The class may be converted into learning credit.
  • Repeated rescheduling may be restricted.

Without sufficient notice

Where the student:

  • Does not attend;
  • Joins too late for the class to be reasonably conducted; or
  • Cancels with less than 24 hours’ notice,

the class may be treated as completed and will normally not qualify for a refund or replacement.

Medical emergencies and other exceptional circumstances may be reviewed individually.

8. Tutor Absence or Cancellation by Learn STEM Academy

Where Learn STEM Academy or the assigned tutor cancels a class, we will offer one of the following:

  • A replacement class;
  • A rescheduled class;
  • A substitute tutor;
  • Learning credit; or
  • A proportionate refund where a suitable replacement cannot be provided.

Students will not lose a paid class because of a cancellation made by Learn STEM Academy.

9. Programme Cancellation by Learn STEM Academy

Learn STEM Academy may cancel or discontinue a programme because of:

  • Insufficient enrolment;
  • Tutor unavailability;
  • Technical or operational difficulties;
  • Safety or safeguarding concerns;
  • Legal or regulatory requirements; or
  • Events outside our reasonable control.

Where we permanently cancel a paid programme and cannot provide a reasonable alternative, the unused portion of the programme fee will be refunded.

10. Tutor Change

Allocation of a particular tutor is not guaranteed unless explicitly confirmed in writing.

A tutor change alone does not automatically qualify for a refund. However, parents may contact us where the replacement tutor or schedule is unsuitable, and we will make reasonable efforts to provide an alternative arrangement.

11. Schedule and Time-Zone Issues

Class schedules will be communicated in the relevant time zone.

Parents are responsible for:

  • Checking the communicated class time;
  • Accounting for daylight-saving changes where applicable;
  • Ensuring that the student joins at the correct time; and
  • Informing us when their country, location or time zone changes.

A class missed because the parent or student misunderstood a clearly communicated time zone will normally be treated as a student absence.

12. Technical Problems

Problems caused by Learn STEM Academy

Where a class cannot be delivered because of a technical problem on our side, the class will be rescheduled or credited.

Problems on the student’s side

Refunds will not normally be issued for problems caused by:

  • Unstable internet connection;
  • Device failure;
  • Electricity interruption;
  • Unsupported browser or software;
  • Disabled camera or microphone;
  • Failure to install required applications; or
  • Other technical issues outside our control.

We may provide reasonable assistance and reschedule the class where circumstances justify it.

13. Digital Courses and Learning Materials

Digital materials may include:

  • Recorded lessons;
  • Worksheets;
  • Downloadable resources;
  • Assessments;
  • Quizzes;
  • Coding files;
  • Learning-management-system access; and
  • Course presentations.

Once digital content has been accessed, downloaded or substantially delivered, it will normally be non-refundable, except where:

  • The content is materially defective;
  • The customer cannot access it because of a problem caused by Learn STEM Academy;
  • The content differs substantially from the description provided; or
  • A refund is required under applicable law.

14. Workshops and Short-Term Events

For workshops, camps, competitions and short-term programmes:

  • Cancellation made at least 7 days before the programme begins may qualify for a full refund.
  • Cancellation made between 3 and 6 days before the programme may qualify for a 50% refund or programme credit.
  • Cancellation made less than 3 days before the programme will normally not qualify for a refund.
  • If Learn STEM Academy cancels the programme, the customer will receive a replacement programme, credit or full refund.

Programme-specific cancellation conditions displayed during registration will apply where they differ from this general policy.

15. Non-Refundable Items

The following are normally non-refundable after delivery or use:

  • Completed or attended classes;
  • Missed classes without sufficient notice;
  • Downloaded digital resources;
  • Completed assessments;
  • Personalised academic evaluations;
  • Custom learning plans already prepared;
  • Complimentary or promotional classes;
  • Expired class packages;
  • Third-party examination or certification charges;
  • Bank, foreign-exchange or card charges collected independently by the customer’s financial provider.

This section does not remove any mandatory consumer rights.

16. Duplicate or Incorrect Payments

Where the same payment is charged more than once, contact us immediately with:

  • Parent or customer name;
  • Registered email address;
  • Transaction date;
  • Payment amount;
  • Transaction or order reference; and
  • Screenshot or bank confirmation.

After verification, confirmed duplicate payments will be refunded to the original payment method.

Where a customer pays an incorrect amount, Learn STEM Academy may refund the excess amount or adjust it against future fees with the customer’s agreement.

17. Failed or Pending Transactions

A payment may sometimes appear as pending or deducted even though enrolment was not completed.

Customers should first allow the bank or payment provider sufficient time to update the transaction status.

Where Learn STEM Academy did not receive the payment:

  • We cannot manually refund an amount that was not settled to us.
  • The bank or payment provider may automatically reverse the transaction.
  • We will provide reasonable assistance in checking the payment status.

RBI rules separately prescribe turnaround times for certain failed payment-system transactions.

18. How to Request a Refund or Cancellation

  • Parent or customer name;
  • Student name;
  • Registered email and phone number;
  • Programme name;
  • Payment date and amount;
  • Transaction or invoice number;
  • Classes attended;
  • Reason for cancellation; and
  • Preferred resolution.

Refund requests must be sent through an official Learn STEM Academy communication channel. Requests made only to an individual tutor may not be treated as formal cancellation requests.

19. Review of Refund Requests

After receiving a complete request, Learn STEM Academy will:

  1. Verify the payment and enrolment.
  2. Check classes, resources or services already delivered.
  3. Review the applicable programme conditions.
  4. Inform the customer whether the request is approved, partly approved or declined.
  5. Provide the refund calculation where applicable.

Additional information may be requested before a decision is made.

20. Refund Processing Time

Approved refunds will normally be initiated within 7–10 business days after approval.

The time required for the refunded amount to appear may vary depending on:

  • Payment method;
  • Customer’s bank;
  • Card network;
  • International payment provider;
  • Currency conversion; and
  • Banking holidays.

Cashfree supports refund processing to the customer’s payment source, but the final credit time may depend on the payment method and banking network.

21. Method of Refund

Refunds will normally be returned to the original payment method.

Where that is not technically possible, Learn STEM Academy may request verified bank details or provide another lawful refund method.

Customers should never send card PINs, passwords, CVVs or one-time passwords to Learn STEM Academy.

22. International Payments and Currency Conversion

For payments received in USD, GBP, AED or another foreign currency:

  • Refunds may be processed in the original transaction currency or the settlement currency supported by the payment provider.
  • The customer may receive a different converted amount because of exchange-rate movements.
  • Currency-conversion fees and international transaction charges imposed by banks or card providers are outside Learn STEM Academy’s control.
  • Learn STEM Academy will refund only the approved amount received or settled for the relevant service, subject to applicable law.

23. Chargebacks and Payment Disputes

Before starting a chargeback or payment dispute, customers are requested to contact Learn STEM Academy so that we can attempt to resolve the issue.

Submitting a false or misleading chargeback may result in:

  • Suspension of class access;
  • Cancellation of future sessions; and
  • Submission of attendance, communications, invoices and service-delivery records to the payment provider.

Nothing in this section prevents a customer from exercising a legitimate right to dispute an unauthorised or incorrectly processed payment.

24. Programme Transfer or Learning Credit

Instead of a refund, Learn STEM Academy may offer:

  • Transfer to another subject;
  • Transfer to another grade or programme;
  • Tutor change;
  • Schedule change;
  • Credit for future classes; or
  • Transfer to a sibling.

Any transfer or credit must be confirmed in writing and may be subject to an expiry date.

25. Removal for Misconduct

Where a student’s access is terminated because of serious or repeated misconduct, including harassment, abuse, unauthorised recording, account misuse or unlawful distribution of course materials, refunds may be denied for services already delivered.

Any refund for unused services will be reviewed based on the circumstances and applicable law.

26. Exceptional Circumstances

Learn STEM Academy may consider exceptions in cases involving:

  • Serious illness;
  • Family emergency;
  • Relocation;
  • Significant accessibility difficulty;
  • Extended technical inability; or
  • Other genuine hardship.

Supporting information may be requested. Approval of one exception does not require approval of future requests.

27. Consumer Complaints

Customers should first contact Learn STEM Academy and allow us a reasonable opportunity to resolve the matter.

If a consumer complaint remains unresolved, customers may use any remedy available under applicable consumer-protection law. The Government of India’s National Consumer Helpline provides a consumer grievance platform.

28. Changes to This Policy

Learn STEM Academy may update this policy to reflect changes in:

  • Programmes;
  • Payment methods;
  • Business practices;
  • Payment-gateway requirements; or
  • Applicable legal requirements.

The updated policy will be published on this page with a revised “Last Updated” date.

Changes will not unfairly remove refund rights already confirmed for a completed purchase.
